Boston Office & Team Experience Manager

The Boston Office and Team Experience Manager will be responsible for Boston office management, office maintenance, and team member engagement through day-to-day operations and event curation. The Boston Office and Team Experience Manager reports directly to the Philadelphia Office Manager and collaborates closely with the Curator (Event Planner), Philadelphia Office Coordinator, Technology Team, and other functional and consulting team members.

The Boston Office and Team Experience Manager position has working hours of 8:30AM-5:00PM, Monday through Friday, with the preferred ability to work outside of working hours occasionally for event support and facilitation.

Key Responsibilities:

Office Management (65%)

Office Management, Building Relations & Hospitality 

  • Manage and maintain working relationship with building management

  • Serve as primary point of contact for all internal and external visitors

  • Oversee office activities, manage the day-to-day operations, and ensure a smoothly functioning, efficient office space

  • Supervise the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities

  • Manage vendor relationships in areas of office maintenance, cleaning, and security to manage deliverables, timelines, and budget

  • Observe office usage and experience and recommend and implement process improvements

  • Serve as team’s first point of contact for fulfillment of office requests and coordinate solutions with other team members as needed

  • Coordinate office catering and event needs with assistance from Vynamic Curator

  • Support team members with all aspects of client workshops in the office

  • Lead all major office enhancement renovations, including vendor management, internal change management, and leadership of the office advisory group

Balance Bar Management & Maintenance

  • Take daily inventory of our on-site Balance Bar and ensure it stays fully stocked with healthy snacks, coffee, tea, and other beverages

  • Welcome guests and assist them in using amenities

  • Keep track of office supplies and reorder supplies as necessary

Technology Support 

  • Train team members on office technology

  • Troubleshoot with team members across a variety of technical issues and escalate to Tech Team as necessary

  • Participate in Vynamic Tech Team meetings and escalate Boston office technology issues as necessary

Boston Team Support  (35%)

  • Identify, implement, and manage creative ways to keep the team connected with shared values as Vynamic grows, while fostering local vibe

  • Collaborate with team members to develop and execute the vision for the office space and elevate the team experience

  • Welcome new Boston team members with office tour, office badging, and Friday Happy Hour

  • Participate in regular Growth & Experience Team (GET) Meetings as Boston Office Lead & Technology Liaison

  • Manage Boston and Cultural Events calendar and all communications for team member milestones

  • Provide administrative support to team members as needed

  • Support planning of local Health and Care and Team Events (Thrive Live, Healthy Hour, CYOCA)  

Competencies & Experience Required:

  • Bachelor’s degree

  • At least 3+ years managing a fast-paced office environment

  • Excellent organizational, planning, and project management skills

  • Strong customer service orientation

  • A problem solver who thrives working quickly with attention to detail

  • Effective communicator who can clearly present and execute ideas into action with to senior-level team members

  • Ability to clearly communicate feedback and direction to vendors to ensure quality standards

  • Passion for technology and office space enablement is a plus
