Business Support Manager – Executive Assistant

Position Overview:

The Business Support Manager role is responsible for providing administrative support, calendar management, and operational assistance to the CEO and the Functional Leadership Team (“FLT”). The Business Support Manager reports directly to the CEO and will work closely with several others in the office. This is a unique position that supports many different teams within the organization. This role has a myriad of tasks that keeps things interesting!

Responsibilities/Essential Functions:

Approx. Amount of Time Responsibility/Essential Function

50% Administrative Support

  • Conduct or manage specific research projects or other projects
  • Attend meetings with team members and potential partners and coordinate follow-up activities and minutes
  • Assemble minutes for the monthly Functions Meeting
  • Consolidate and create communications, including emails and Yammer posts for CEO and Leadership Team
  • Assemble confidential and sensitive information
  • Process Expenses for CEO & other Executives
  • Contract management within Sharepoint
  • Support Talent Team in completing onboarding tasks for new hires & other tasks

40% Calendar Management

  • Coordinate Business Travel (flights, hotel bookings, dinner reservations, etc.) for Functional Leadership Team
  • Coordinate and schedule cross-company meetings and events for CEO and CEO’s Clients
  • Coordinate Calendar invitations and scheduling for business planning purposes
  • Coordinate scheduling of meetings with visitors’ staff
  • Support Talent Team by coordinating times for final round interviews each month
  • Assist in managing CEO’s calendar
  • Provide heavy calendar support for Compensation team

10% Additional Projects

  • Assist with coordination of team dinners
  • Manage the Vynamic Events Calendar
  • Organize gifts sent on behalf of the CEO

Qualifications:

  • Bachelor’s degree preferred
  • At least 6 years of experience in a professional services firm
  • Strong knowledge of MS Office Products
  • Strong verbal and written communication skills
  • Excellent organizational, planning and project management skills
  • Ability to interface effectively with internal team members and external parties
  • Ability to prioritize and multi-task successfully in a fast-paced environment
  • Excellent follow-up skills and attention to details
  • Demonstrates sensitivity to confidential matters
  • Excellent customer service orientation
