Staffing Director

The Staffing Director is responsible for partnering with the Staffing Lead in working with Account Managers, Opportunity Leads, the Business Development team and Vynamic Team Members to understand all opportunities requiring resources and coordinating all project staffing decisions across Vynamic. The Staffing Director will coordinate staffing-related discussions across all hubs, working closely with Opportunity Leads and Team Members to align project resource requirements, including timing of the project with team member’s skill set and experience. The Staffing Director will be responsible for updating all appropriate tools to accurately reflect current opportunities across clients and availability of team members.

The Staffing Director will also collaborate extensively with the COO, Business Development Team, Finance Team, Talent Team and Marketing Lead – as well as other team members across the organization. The Staffing Director will report to the Staffing Lead.


Responsibilities/Essential Functions

Staffing Management (90% of Role)

  • Partner with Staffing Lead in working with Account Managers, Business Development and Opportunity Leads to understand all opportunities (new projects & extensions) requiring resources and coordinate all project staffing decisions across Vynamic
  • Coordinate staffing related discussions across all hubs including working closely with Opportunity Leads & Team Members to align project resource requirements, including timing of the project with team member skill set and experience
  • Prepare weekly Resource Overview report
  • Schedule and conduct check-ins with Account Managers and team members three weeks in advance of contract end date to understand extension probability
  • Coordinate discussions and meetings with team members to understand preferences and provide unbiased voice on project selection
  • Schedule and conduct regular check-ins with unstaffed team members
  • Maintain and update Consultant Availability List
  • Establish process and partner with team members to update skills and experience on a recurring basis
  • Partner with Staffing Lead to create, run, and update Staffing reporting and forecasting tools; assist with slide preparation to summarize reporting/forecasting outputs as needed
  • Work with Opportunity Leads to update/maintain pre-outcome opportunities in Financial Force, in partnership with Business Development team and Finance as needed
  • Schedule and conduct introductory calls with New Hires prior to their start date
  • Support New Hire Orientation activities, including maintenance of content for Consulting Operations section and check-ins with New Hires
  • Support Client Acquisition and Staffing Lead in coordination of prioritized project opportunities and resource options
  • Partner with Operations Director in coordinating and managing unstaffed team members
  • Assist in management of Conflicts of Interest (CoI) and Wash Out Periods for team members and coordinate with the CoI Committee when appropriate
  • Communicate with Talent Development Team on specific skillset gaps identified through the staffing process and other trends (e.g., levels, team-based projects, etc.)
  • Work with Talent Acquisition team to optimize talent mix/pipeline to align with forecasted project demand

Strategic Priority Support & Project Support (5% of Role)

  • Support implementation and change management of Scaling Staffing strategic priority (2020 – 2021)
  • Support implementation and change management of staffing related components of the PSA project (Financial Force implementation)
  • Support continued evolution of Vynamic’s staffing model, processes and system enhancements

Existing Client Support (5% of Role)

  • Support Staffing Lead in working with the Account Managers and consulting team members at existing clients to expand Vynamic’s sphere of influence across the client’s organization
  • Partner with Staffing Lead to appropriately align to key accounts and Account Managers by scheduling regular touch points to assess current and potential staffing needs at that account



  • Bachelor’s degree required
  • Boston or Philadelphia preferred location
  • Minimum of 2-3 years Vynamic experience and 6 years professional experience
  • Entrepreneurial spirit and experience with the staffing process (either as a team member or opportunity lead)
  • Strong knowledge of MS Office Products including Excel, PowerPoint and SharePoint
  • Basic working knowledge of CRM and demand tracking systems (e.g., Salesforce)
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills (E.g. EQ) in dealing with team members of varying DISC types
  • Excellent organizational skills, keeping track of many moving pieces amid constant change
  • Excellent planning and project management
  • Strong analytical skills
  • Experience with reporting and/or forecasting preferred
